How to keep track of customer orders
A forgotten order or one delivered on the wrong day is expensive: that customer does not come back. A simple system with the date, status and payment of every order solves most of the problem.
Step by step
- 1
Log every order in full
Customer, products and quantities, delivery date and time, delivery or pickup, and notes (flavor, theme, dietary restrictions).
- 2
Agree on and record the payment
Payment method (cash, card, bank transfer or other) and how much has been paid. A 50% deposit is common for custom orders.
- 3
Track the status
To do, to deliver, delivered or cancelled. That way you can see at a glance what needs to be made today.
- 4
Use reminders
A reminder the day before to start baking and another on delivery day keep you from forgetting anything during your busiest weeks.
Why move beyond notebooks and text messages
Orders scattered across chats and notes get lost when things get busy. With everything in one place, you know how much you will get paid this week, who still owes you and which customers order often.
Each customer's history also helps you sell more: you can reach out to people who have not ordered in a while or remember last year's birthday cake order.
What to check before accepting an order
- Whether the date fits your production schedule for the week.
- Whether the price covers your cost, including packaging and delivery.
- Whether the deposit has been paid, for custom orders.
- Whether you have the ingredients or need to buy them.

Frequently asked questions
How do I keep track of this week's orders?
Log each order with its delivery date and turn on reminders. Viewing the list by status (to do, to deliver) shows what needs to be made each day.
Can I give customers a receipt?
Yes. The app creates a PDF receipt with items, amounts, discount, delivery fee and payment method. It is not a tax invoice.
